Rotary International District 3780 Online Platform
Effective Date: 17 September 2026
Welcome to the online platform of Rotary International District 3780. These Terms of Use and Participation govern access to and use of rotarydistrict3780.org, its authorized subdomains and Club websites, the Impact3780 Hub, and related online services, features, registrations, publications, project participation, and digital transactions collectively referred to in these Terms as the “Platform.”
By accessing the Platform, creating an account, submitting information, publishing content, registering for an event, joining a project, making a payment or pledge, or otherwise using any Platform feature, you agree to these Terms. If you do not agree, please discontinue use of the Platform.
These Terms should be read together with the Platform’s Privacy Policy and any additional rules, mechanics, event conditions, project conditions, payment terms, or notices applicable to a particular activity.
1. About the Platform
The Platform is operated for Rotary International District 3780 to support communication, member engagement, Club websites, Stories and publications, service projects, District and Club events, registrations, member profiles, District programs, reporting, and related Rotary activities.
The Platform may include:

rotarydistrict3780.org; hub.rotarydistrict3780.orgas the authenticated member and operational Hub;- District and Club Stories and other published content;
- member profiles and directories;
- Projects and Community Project Templates;
- Event and Project registrations;
- online and manual payment facilities;
- QR-based Event registration and check-in;
- District and Club administration tools; and
- other services introduced from time to time.
Some Platform functions are public, while others require a registered and authorized user account.
2. Relationship with Rotary International
Rotary International District 3780 is part of the worldwide Rotary organization.
The names, logos, marks, insignia, and other Rotary-related intellectual property used on the Platform are subject to the policies, licensing requirements, and intellectual property rights of Rotary International.
Nothing on the Platform grants any user a right to use Rotary names, logos, or other Rotary Marks independently of applicable Rotary International policies and authorization.
Club websites hosted within the Platform remain subject to applicable Rotary International and District branding, communications, public image, and governance policies.
3. User Accounts
Certain Platform services require registration or authentication.
Users are responsible for providing accurate and current information and for maintaining the confidentiality of their login credentials. Accounts must not be shared with unauthorized persons.
A user is responsible for activities carried out through their account unless the Platform is notified promptly of suspected unauthorized access.
The District may suspend, restrict, or terminate an account where necessary for security, policy compliance, misuse prevention, administrative reasons, or protection of other users and Platform data.
4. Member Profiles
Members may create and maintain professional Rotary profiles containing information such as their nickname, full name, Rotary Club, classification, Club position, District designation, Rotary experience, profile photograph, banner image, and other information.
Certain profile information may be designated as public, visible only to authenticated users, or private.
Users are responsible for the accuracy of information they publish in their profiles.
The Platform may require certain information to maintain a valid member profile, including Full Name, email address, mobile number, Rotary Club, Member Classification, Club Position, and Rotarian Since information.
Privacy controls do not override legitimate administrative access required by authorized District personnel for Platform administration, security, membership validation, or compliance purposes.
5. Club Websites
Rotary Clubs participating in the Platform may be provided with a Club website hosted within the District network.
Authorized Club officers may be granted access to manage their Club website after appropriate verification and approval.
Authorized roles may include Club Presidents, Club Secretaries, Club Public Image or Communications officers, Community Service officers, and other approved Club administrators.
Club administrators are responsible for ensuring that published information is accurate, appropriate, and consistent with Rotary International and District policies.
The District may maintain technical, security, branding, navigation, or structural controls across Club websites to protect Platform integrity and provide a consistent District-wide experience.
6. Stories and Published Content
The Platform allows authorized users to create and publish Stories, articles, announcements, photographs, galleries, and related content.
Stories may be subject to Club or District editorial review before publication or inclusion in District-wide channels.
Content submitted for District publication, District featuring, Governor’s Monthly Letter inclusion, or other District channels may be reviewed, edited, returned for revision, approved, declined, or removed by authorized Public Image or District personnel.
Submission does not guarantee publication.
Authors remain responsible for ensuring that submitted material is accurate, lawful, respectful, and that they have permission to use photographs, images, text, names, and other materials included in their submission.
7. User-Generated Content
By submitting content to the Platform, you represent that you own the content or have sufficient permission to submit and publish it.
You grant Rotary International District 3780 a non-exclusive, royalty-free permission to display, reproduce, format, distribute, archive, promote, and use submitted content in connection with District and Club activities, including websites, newsletters, social media, reports, presentations, and Rotary-related publications.
This permission does not transfer ownership of your original content.
The District may remove content that is inaccurate, unlawful, inappropriate, misleading, infringing, harmful, inconsistent with Rotary values, or otherwise unsuitable for the Platform.
8. Photographs and Media
Users uploading photographs, videos, or other media are responsible for obtaining any permissions reasonably required for their use.
Where photographs include children, vulnerable persons, beneficiaries, or persons in sensitive circumstances, users should observe appropriate consent, safeguarding, dignity, and privacy practices.
The Platform may resize, optimize, crop, create thumbnails, or otherwise technically process uploaded media for website display.
9. Events
The Platform may allow users and guests to register for District and Club Events.
Event information may include registration types, fees, eligibility conditions, attendance limits, Club allocations, schedules, venues, attendee requirements, and other event-specific rules.
Registrants are responsible for providing accurate registration and attendee information.
An Event organizer may modify schedules, venues, programs, capacity, registration conditions, or other arrangements when reasonably necessary.
Where an Event has separate official mechanics, rules, cancellation policies, or refund conditions, those specific terms supplement these Terms.
10. Event Registration and QR Codes
A successful registration may generate a Registration Code.
For paid Events, an operational Event QR Code is issued only after the Platform records the applicable payment status as Paid.
QR Codes may be used for Event validation and check-in.
Users must not duplicate, alter, forge, sell, improperly transfer, or misuse Event QR Codes.
The District may reject a QR Code that is invalid, cancelled, expired, previously checked in, associated with an unpaid registration, or otherwise inconsistent with the registration record.
The Platform’s registration record is the authoritative record for Event status unless corrected by an authorized administrator.
11. Projects and Project Participation
The Platform allows Clubs and the District to publish service Projects and may allow members or guests to join, volunteer, pledge supplies, indicate participation, or provide monetary support.
Project participation may include Monetary and Non-Monetary registration or participation types.
Non-Monetary commitments may include volunteers, goods, supplies, equipment, professional services, or other in-kind support.
Users should accurately describe the nature and quantity of any non-monetary pledge.
A Project organizer may contact participants to confirm arrangements, logistics, quantities, delivery requirements, or participation details.
Submitting Project participation does not necessarily create a commercial contract unless expressly stated otherwise.
12. Community Project Templates
The District Community Service Team may make reusable Community Project Templates available to Clubs.
Templates are intended to provide guidance and common District parameters for activities that may be implemented by multiple Clubs.
Clubs using a Template remain responsible for adapting the Project to local circumstances, obtaining necessary approvals, complying with applicable laws and Rotary policies, and managing their own implementation.
Availability of a District Template does not constitute a guarantee of funding, resources, regulatory approval, or successful implementation.
13. Payments
The Platform may support online payment gateways and approved manual payment methods.
Payment options may include services such as PayFusion, IntegraLink, or other approved providers, as well as bank transfer, GCash, Maya, or other manual methods configured by an Event or Project organizer.
Online payment gateway transactions may also be subject to the terms, privacy policies, availability, and processing rules of the applicable payment provider.
A payment is not considered successfully paid merely because a user has initiated checkout or received a payment link.
For automated payment gateways, the Platform should treat the gateway’s verified payment confirmation or other trusted payment verification process as authoritative.
For manual payment methods, uploaded receipts, screenshots, transfer confirmations, or similar evidence remain subject to verification by an authorized administrator.
14. Payment Status
Depending on the transaction, payment status may include states such as:
Unpaid, Awaiting Payment, Pending Verification, Paid, Waived, Rejected, Failed, Expired, Cancelled, Refunded, or Not Required.
The Platform record, together with verified gateway or administrator confirmation, determines the operative payment status.
The District may correct payment status where an error, duplicate transaction, reversal, chargeback, refund, failed settlement, or payment-provider notification requires an adjustment.
15. Fees and Refunds
Registration fees, participation amounts, contribution amounts, and other charges will be shown before payment where applicable.
Refunds, transfers, substitutions, cancellations, and credits are subject to the rules established for the applicable Event, Project, program, or transaction and to applicable law.
Unless expressly stated, payments or Project contributions should not be assumed to be tax-deductible charitable donations. Any tax treatment, official receipt, donation acknowledgement, or similar treatment depends on the entity receiving the funds and applicable Philippine law.
16. Registration Confirmations and Email
The Platform may send transactional emails relating to:
- account activity;
- Event registration;
- Project participation;
- payment status;
- tickets or registration numbers;
- QR Codes;
- Club website access requests;
- Story review;
- administrative actions; and
- other Platform transactions.
Users are responsible for providing a valid email address and checking messages relating to their registrations or activities.
Failure to receive an email does not necessarily mean a transaction did not occur. Users should check their Profile, Recent Activities, registration details page, or contact the applicable organizer where confirmation is uncertain.
17. Comments and Community Participation
Where comments are enabled on Stories, participation may be limited to authenticated and validated Impact3780 members.
Users must engage respectfully and must not post defamatory, discriminatory, threatening, unlawful, deceptive, abusive, commercially exploitative, or otherwise inappropriate material.
The District may moderate, remove, close, or restrict comments at its discretion.
18. Acceptable Use
Users must not misuse the Platform. Prohibited conduct includes unauthorized access attempts, impersonation, fraudulent registration or payment activity, forged QR Codes, scraping protected member information, uploading malware, interfering with Platform operations, circumventing permissions, accessing another person’s private registration information, exploiting vulnerabilities, publishing unlawful content, or using Platform data for unauthorized commercial solicitation.
The District may investigate suspected misuse and may preserve relevant logs and records where necessary for security, audit, dispute resolution, or legal compliance.
19. Privacy and Personal Information
The Platform processes personal information for legitimate District and Club operational purposes including membership administration, profiles, event and project participation, communications, payment processing, registration management, reporting, and Platform security.
Users should review the separate Privacy Policy for information about personal data collection, use, disclosure, retention, security, and user rights.
Public Profiles and public Stories may be accessible through search engines and the general Internet.
Users should use available privacy controls carefully.
20. Security
The District uses reasonable technical and administrative measures intended to protect Platform information.
However, no online system can guarantee absolute security.
Users should immediately report suspected unauthorized account access, exposed personal data, fraudulent payment activity, compromised QR Codes, or other security concerns.
21. Third-Party Services
The Platform may rely on or link to third-party services including payment gateways, email providers, maps, social media platforms, video services, analytics providers, hosting services, and external websites.
The District is not responsible for the independent availability, security, content, or policies of third-party services.
Use of a third-party service may be governed by that provider’s own terms and privacy policy.
22. External Links
Club Stories, Event pages, Project pages, member profiles, and other Platform content may contain links to external websites.
Links are provided for convenience or information and do not necessarily constitute District endorsement.
Users should exercise reasonable judgment before relying on external content or submitting information to third-party websites.
23. Intellectual Property
Except for content owned by Rotary International, individual Clubs, authors, licensors, or third parties, the Platform’s original software, database structure, design, administrative systems, workflows, and Platform-specific materials may be protected by applicable intellectual property rights.
Users may not reproduce, reverse engineer, redistribute, sell, exploit, or commercially reuse protected Platform components except where authorized.
Nothing in these Terms restricts lawful use of individual Club or member content by its rightful owner.
24. Platform Availability
The District seeks to maintain reliable Platform availability but does not guarantee uninterrupted or error-free operation.
The Platform may be temporarily unavailable due to maintenance, upgrades, technical problems, hosting interruptions, cybersecurity measures, third-party service outages, or circumstances outside the District’s reasonable control.
Features may be modified, replaced, suspended, or discontinued as the Platform evolves.
25. Accuracy of Information
The Platform includes information supplied by District officers, Rotary Clubs, members, Event organizers, Project organizers, and other contributors.
Although reasonable efforts may be made to maintain accurate information, the District does not warrant that all Platform content is complete, current, or free from error.
Users should verify important Event, payment, Project, meeting, or contact information with the relevant organizer where necessary.
26. No Professional Advice
Content published on the Platform is primarily for Rotary, informational, organizational, and community purposes.
Unless expressly stated, Platform content does not constitute legal, tax, accounting, medical, financial, investment, engineering, or other professional advice.
27. Limitation of Liability
To the extent permitted by applicable law, Rotary International District 3780, participating Clubs, officers, administrators, volunteers, and Platform service providers will not be liable for indirect, incidental, consequential, special, or similar losses arising from use of or inability to use the Platform.
Nothing in these Terms excludes liability that cannot lawfully be excluded under applicable law.
28. Indemnity
To the extent permitted by law, users agree to be responsible for losses, claims, or liabilities arising from their unlawful use of the Platform, infringement of third-party rights, fraudulent activity, unauthorized publication of content, or material violation of these Terms.
29. Suspension or Removal of Content and Access
The District may remove content or restrict access where reasonably necessary to:
- protect Platform security;
- enforce these Terms;
- comply with law;
- respond to intellectual-property or privacy concerns;
- protect members or the public;
- maintain Rotary standards; or
- address fraudulent or abusive activity.
Where practical, administrative concerns may first be referred to the relevant Club or District officer.
30. Changes to These Terms
The Platform and its services will continue to evolve.
The District may update these Terms to reflect new functionality, operational changes, legal requirements, or Rotary policies.
The latest version will be published on rotarydistrict3780.org.
Continued use of the Platform after updated Terms become effective constitutes acceptance of the revised Terms.
Material changes may also be communicated through the Platform or other appropriate channels.
31. Governing Law
These Terms are governed by the laws of the Republic of the Philippines, without prejudice to mandatory rights or obligations under applicable law.
Any dispute should first be addressed in good faith through the appropriate Club or District administrative channels where reasonably possible.
32. Severability
If any part of these Terms is determined to be invalid or unenforceable, the remaining provisions will continue to apply to the fullest extent permitted by law.
